StorySmith Legacy

Your story is sacred, and so is your privacy. This Privacy Policy explains how StorySmith collects, uses, and protects your personal information. Our approach is grounded in our core values of Dignity, Sovereignty, and Trust.

Our Commitment: What We Will NEVER Do

  • We will NEVER sell or share your personal stories or data.
  • We will NEVER use your conversations or data to train our own or third-party AI models.
  • We will NEVER create "AI clones" or use your voice for any purpose other than providing this Service to you.

1. Information We Collect

  • Account Information: When you (or a Gifter) create an account, we collect names and email addresses.
  • Payment Information: All payments are processed securely by Stripe. We do not collect or store your credit card information.
  • Conversation Data (Your Story): This is your most sensitive data. We collect the audio recordings of your conversations with Peg and the resulting text transcripts.
  • Family Contribution Data: We collect the names, relationships, and questions submitted by family members you invite. Family members can submit questions or areas of interest they would like the Storyteller to speak about by filling in a form. This information is used solely to guide the Storyteller’s conversations and shape the final book.

2. How We Use Your Information

We use your information for one purpose only: to provide the StorySmith Legacy Service to you. This includes:

  • Creating and managing your account.
  • Facilitating your conversations with Peg.
  • Allowing our trusted human team to access your transcripts for curation and book design.
  • Preparing a digital proof of your book and managing your one included round of updates before final approval.
  • Communicating with you about your project.
  • Printing and delivering your final book.

3. How We Share Your Information

We only share your information with the essential third-party partners who help us create your heirloom. We have chosen these partners for their commitment to security and privacy.

  • Supabase: Our core infrastructure provider for database, storage, and authentication. Your account information, conversation transcripts, and related project data are stored securely on Supabase infrastructure, which may be located outside Aotearoa New Zealand.
  • ElevenLabs: The technology partner that powers the conversational voice of Peg and processes your audio conversations to generate transcripts. ElevenLabs may store and process your audio and transcript data on its own infrastructure, which may be located outside Aotearoa New Zealand. For more information about how ElevenLabs handles data, please refer to their published documentation and policies on their website.
  • Our Printing Partner: The company that prints and binds your physical book. We share only the information necessary to produce and deliver your book (such as your name, delivery address, and final manuscript files).
  • Your Family (With Your Control): The final book and digital files are for you to share with whomever you choose. We do not send your book or files to any family member unless you ask us to.

4. Data Location and Sovereignty

  • Data Location and Sovereignty: At present, your data (including audio files, transcripts, and account information) is stored with our trusted partners, primarily Supabase and ElevenLabs, whose infrastructure may be located outside Aotearoa New Zealand. This means your data may be subject to the laws of those jurisdictions as well as New Zealand’s Privacy Act.
  • Our intention is to move the storage of your core data to secure servers located in Aotearoa New Zealand in the future. When we make this change, we will update this Privacy Policy and notify you of any material changes.
  • Security: We use industry-standard security measures, including encryption, to protect your data both in transit and at rest.

5. Your Rights: You Are in Control

You have the right to:

  • Access Your Data: You can request a copy of all the personal data we hold about you at any time.
  • Correct Your Data: You can update your personal information in your profile. For corrections to your story manuscript, this is done during the proof review phase, where you are entitled to one included round of updates before approval.
  • Delete Your Data: You have the right to request deletion of your account and all personal data we hold about you in our systems. If you make this request after your book has been printed, we will:
    • Delete your account and associated project data from our own systems, and
    • Take reasonable steps to delete or minimise any personal data we have shared with our active service providers, except where we are legally required to retain certain records (for example, payment records for tax and accounting).

6. Data Retention

We keep your data only for as long as we reasonably need it to provide the Service and to meet our legal and operational obligations.

  • Audio recordings: Retained for up to two (2) years after completion of your project.
  • Transcripts and project data: Retained for up to seven (7) years after completion.
  • Legal and operational requirements: In some cases, we may need to retain limited information (such as transaction records) for longer periods to comply with tax, accounting, or other legal obligations.

When retention periods expire, or when you exercise your right to deletion, we will delete or irreversibly anonymise your personal data from our systems, except where we are legally required to keep certain records.

7. Cookies & Analytics

We use minimal cookies on our website to ensure basic functionality and to understand how our site is used. We do not use invasive tracking cookies for advertising purposes.

8. Changes to This Policy

We may update this Privacy Policy. We will notify you of any significant changes by email.
